Zapier vs n8n: Which Automation Tool Actually Fits a Small Business Budget?

You got quoted a monthly fee for Zapier that made you close the tab. Someone mentioned n8n as “the cheaper option” without explaining what you’d actually be giving up. Here’s the honest comparison, not the marketing version.
What both tools actually do
Same core job: connect apps together and automate the steps between them, a form submission triggers a notification, a payment triggers an invoice, a new lead gets logged automatically. The difference isn’t what they do. It’s how they’re priced and who’s meant to run them.
Zapier: pay per task, scale with your usage
Zapier charges based on how many “tasks” your workflows run per month. Every single action counts. A workflow that routes a lead, logs it, and sends a notification is 3 tasks for one enquiry. Multiply that by your actual enquiry volume, and costs climb fast. Zapier’s paid tiers commonly run from around USD 20–70+/month for a small business, and significantly more once you’re running multiple workflows at real volume.
What you’re paying for:
- Zero setup complexity — genuinely drag-and-drop, no technical background needed
- Instant connections to thousands of apps, no configuration required
- Someone else hosts and maintains everything
n8n: pay for hosting, not per task
n8n’s pricing model is fundamentally different. You’re not charged per action your workflow runs. Self-hosted, it’s often just the cost of a small server (commonly single-digit USD/month on cheap hosting) plus your time to set it up. Their cloud-hosted option removes the setup work but still isn’t priced per task the way Zapier is.
What you’re trading for the lower cost:
- Someone needs to actually set it up, either technical know-how in-house, or an agency/freelancer to build it once
- Self-hosting means you (or whoever set it up) are responsible for keeping it running
- The interface is more powerful but less “point and click obvious” than Zapier’s
The real deciding question isn’t price, it’s volume and complexity
- Low volume, simple workflows, no one technical on the team? Zapier’s cost might genuinely be worth it for the zero-setup convenience. RM100–300/month is cheap insurance against needing to hire help.
- High volume (hundreds of leads or transactions a month) or workflows with real branching logic? This is where Zapier’s per-task pricing becomes expensive fast, and n8n’s flat hosting cost starts winning by a wide margin.
- Need it built once and left alone? Either works. The real cost difference shows up over months, not on day one.

The mistake is choosing based on which name you’ve heard more often, rather than your actual monthly task volume and whether you have (or want to pay for) technical setup.
